Hybrid: This role follows a hybrid schedule, requiring 3 days in the office at our Pilsen, Czechia location and 2 days remote per week. The in-office days are subject to business needs. Candidates must be able to commute to the office as required.  The work arrangement for this role is subject to change based on business needs and individual performance. This may include adjustments to on-site requirements or schedule expectations, as necessary. 


Position Overview 

The Administrative Assistant will be a point of contact for facilities-related issues as well as provide administrative support to teams based in Czech Republic as needed.  The successful candidate will have experience in various areas of administrative support.  Primary duties will include assisting the teams with in-office functions such as office supplies, space planning, stock replenishment, events planning and vendor management.  Strong communication and organizational skills are required for this position. 

This is a part-time position (20hrs/week). The position is based in Prague, regular travel to Pilsen office will be required. 


Primary Responsibilities  

The below represents the primary duties of the position, others may be assigned as needed. The requirements listed below are representative of the knowledge, skill, and/or ability required.   • Coordinate all in-office functions such as space and seat planning, shipping/receiving, mail services,  
  • Maintain upkeep of office equipment and maintenance - submit work orders and schedule repairs for general office space and equipment to address issues. 
  • Manage schedules for conference rooms and office spaces. 
  • Manage incoming and outgoing correspondence, including mail and packages.  
  • Coordinate with landlord and property management team regularly, ensuring landlord-provided services such as cleaning and building maintenance meet our needs.  
  • Manage service contractors for the office for scheduled equipment maintenance.  
  • Manage office security, including badging and access control.  
  • Order and maintain office and kitchen supplies. 
  • Helping with organizing events (catering, venues) and assisting with clerical work and administrative tasks 
  • Responsibility for Health & Safety agenda related to Czech offices (Prague and Pilsen)  
  • Provide facility specific assistance to the project management team as needed.  
  • Respond to internal and external clients inquiries and concerns 
  • Assist with site inspections (related to fire department, buildouts, etc.) 
  • Other duties as assigned 

Education and Experience 

  • High School degree required 
  • 2 years or more experience working in administration support or office services  
  • Strong written and oral communication skills 
  • Fluent in Czech and English 
  • Proficiency with Microsoft Office programs; excel, word and outlook  
  • Excellent verbal and written communication skills 
  • Excellent organizational skills and attention to detail 
  • Ability to stay organized while overseeing multiple initiatives and work well in a fast-paced environment. 
  • Flexibility to travel to Pilsen office (cca 1x/ 3 months)
