Position Summary
The Facilities & Workplace Services Lead serves as the primary point of contact for all employees, visitors, vendors, and business partners, delivering a white-glove workplace experience that reflects the organization's commitment to excellence, hospitality, and operational efficiency. This role is responsible for leading facilities operations, office administration, food services, employee amenities, vendor management, transportation services, workplace projects, and employee support programs.
The position ensures that every interaction, service request, and workplace experience is handled with professionalism, urgency, and a customer-first mindset. The Facilities & Workplace Services Lead creates a safe, welcoming, and highly functional environment that enables employees to perform at their best while providing an exceptional experience for visitors and customers.
In-Office: This is a 100% in-office role based at our Guadalajara, MEX location. Remote or hybrid work is not available for this position. Candidates must be able to work on-site five days per week during designated work hours.
Key Responsibilities
Workplace Experience & White-Glove Service
- Serve as the face of Workplace Services, providing exceptional customer service to all employees, visitors, executives, and stakeholders.
- Deliver a proactive, high-touch ("white glove") service experience by anticipating needs and resolving issues before they impact operations.
- Act as the primary point of contact for workplace-related inquiries, requests, and escalations.
- Ensure all visitors receive a professional and welcoming experience from arrival through departure.
- Partner with business leaders to support workplace initiatives that enhance employee engagement and satisfaction.
- Coordinate meetings, special events, executive visits, and workplace programs with exceptional attention to detail.
Facilities Operations
- Ensure the safe, efficient, and continuous operation of all facilities and workplace environments.
- Maintain office equipment, furniture, workspace layouts, conference rooms, and common areas.
- Manage facility maintenance programs, repairs, preventive maintenance activities, and work orders.
- Conduct regular facility inspections to identify improvement opportunities and ensure workplace standards are maintained.
- Support office moves, expansions, renovations, and space planning initiatives.
- Maintain employee seating assignments, floor plans, occupancy records, and workplace documentation.
- Preventive Walkthroughs: Proactively detect issues in offices and common areas to resolve them before they impact the user
- Provide basic Level I/II onsite support for common workplace and employee technology issues, including conference room systems, monitors, docking stations, printers, Wi-Fi connectivity, and peripheral devices.
Food Service & Employee Amenities
- Support the implementation, operation, and continuous improvement of cafeteria and dining services.
- Oversee food service providers, coffee services, vending programs, and pantry operations.
- Monitor food quality, service levels, cleanliness, and employee satisfaction.
- Coordinate catering services for meetings, training sessions, executive events, and employee activities.
- Ensure compliance with food safety, health, and sanitation standards.
- Partner with vendors to enhance employee dining experience while managing budget and service expectations.
- Ability to Frequently bend, twist, stoop, and reach. Routinely push and pull heavy objects, equipment, or materials weighing up to 50 pounds.
Transportation & General Services
- Monitor and assist with transportation services for visitors.
- Ensure transportation providers meet contractual obligations and service expectations.
- Support employee services including parking, access control, badging, mail services, and other workplace amenities.
- Manage workplace support processes and facilitate issue resolution with a sense of urgency.
- Other duties as assigned.
Vendor & Contractor Management
- Manage relationships with third-party vendors and service providers.
- Coordinate janitorial, security, landscaping, food service, transportation, coffee service, vending, and maintenance vendors.
- Track vendor performance and ensure compliance with Service Level Agreements (SLAs).
- Review service quality, conduct performance evaluations, and implement corrective actions when necessary.
- Manage procurement activities, including vendor selection, quotations, contracts, purchase orders, and invoice approvals.
Project Management
- Lead and coordinate facilities-related projects from planning through completion.
- Track project schedules, budgets, risks, and deliverables.
- Collaborate with internal stakeholders and external contractors to ensure project success.
- Drive continuous improvement initiatives that enhance workplace efficiency, employee experience, and operational excellence.
Health, Safety & Compliance
- Support workplace health, safety, and environmental compliance programs.
- Maintain required documentation, inspections, reports, and regulatory records.
- Participate in emergency preparedness activities, drills, and business continuity planning.
- Ensure facilities comply with company standards and local regulations.
Report & Performance Management
- Monitor key metrics related to facilities, transportation, food services, cleaning services, workplace experience, and vendor performance.
- Analyze data to identify trends, risks, and improvement opportunities.
- Present findings and recommendations to management.
Qualifications
- Bachelor's degree preferred, or relative work experience as lieu.
- Minimum of 5 years of experience in Facilities Management, Workplace Services, Office Operations, or General Services.
- Ability to work independently and manage competing priorities effectively.
- Proven experience managing vendors, contracts, and service delivery programs.
- Strong knowledge of workplace operations, food services, transportation programs, and employee support services.
- Proficiency in Microsoft Office, Teams, and workplace collaboration tools.
- Intermediate to advanced English communication skills.
- Strong organizational, problem-solving, and project management abilities.

Physical Requirements
- Ability to sit for extended periods: The role requires sitting at a desk or workstation for long periods, typically 7-8 hours a day.
- Use of computer and phone systems: The employee must be able to operate a computer, use phone systems, and type. This includes using multiple software programs and inquiries simultaneously.
