Employee Supervisor FAQs
How do I locate and print my reports?
Log in to Paylocity, navigate to Reports and Analytics, and select Reporting. Depending on the access level determined by your employer, you may be unable to view or print reports. In that case, contact your employer for assistance.
How do I change my notification settings?
Log in to Paylocity and select HR & Payroll from the main menu. Then choose User Access, then Preferences. Under Notifications—Email Preferences, you can adjust how you receive notifications.
How do I adjust a timesheet?
Desktop: Log in to Paylocity, navigate to Time & Labor, and select Activity. Make changes by looking at the Errors, Recent Activity, Information, and Corrections headers.
Mobile: Log in to Paylocity, navigate to Time & Labor, then select Timesheet. Select Punch, then select Activity.
Depending on the access level determined by your employer, you may be unable to adjust your timesheet. In that case, contact your employer for assistance.

Where are my employees’ W-2s?
Paylocity will begin mailing Year-End packages directly to your employees’ home addresses on January 14, 2026. Your employees will be able to access their W-2s online starting January 16, 2026.
How do I access my employees’ W-2s
Navigate to HR & Payroll > Reports & Analytics > Year End Dashboard to access your company’s Year-End reports, including your employees’ W-2s
How do my employees access their W-2s?
On desktop:
- If your employees use Paylocity Home: Navigate to Home > Employees > Person Record. Select the Pay tab, and then select Tax Forms.
- If your employees use the Paylocity Employee Self-Service portal: Navigate to Employee Self-Service > Pay Tile > More > Tax Forms > Select Tax Form.
On mobile:
- In the Paylocity app, select Pay > Tax Forms > 2025.
What should I do if there’s an error on my employees’ W-2, 1095-C, or 1099?
Please contact your account manager if you need to correct the information on your employees’ W-2s.
What should I do if my employee is missing their W-2, 1095-C, or 1099?
Determine whether the employee is active or terminated.
- For active employees: Confirm if the employee had taxable wages, is a W-2 or 1099 employee, and if they opted in for paperless. Review the PEAK article W-2 Forms to locate a digital copy of their tax forms.
- For terminated employees: Review your company’s print options by following the steps in the PEAK article Print Year-End Forms for Inactive Employees. If the Always Print Terminated setting is disabled, update it, and navigate to Reports & Analytics > Year End Dashboard to request a reprint.
What is the easiest way for my employees to file their taxes?
Starting January 16, 2026, your employees can import their W-2 directly from Paylocity to TurboTax, H&R Block, or TaxAct for fast and secure filing.
