What Leaders Need from AI in HR Technology

Our research and our clients agree: Getting real value from AI depends on four key capabilities.

Innovation only matters when it creates real value in everyday use. That’s the foundation behind Paylocity’s Ignite AI, and it’s the reason we bring clients into every stage of development.

Too often, AI conversations in HR start with what the technology can do instead of what leaders actually need it to solve. That disconnect is one reason adoption falls short of expectations.

A Paylocity survey of more than 500 HR, Finance, and IT leaders shows where confidence in AI is growing — and where barriers still exist. The big picture is encouraging: 88% of HR technology decision-makers believe AI can help their teams focus on higher-value work.

But optimism alone doesn’t drive results. Our research shows that successful adoption of AI in HR depends on four key capabilities:

  • Prevention: Catching payroll issues early
  • Insight: Better visibility for workforce planning
  • Usability: Making AI accessible and intuitive
  • Security: Building trust through governance and control

I recently had the opportunity to meet several of our clients who provided direct feedback to our product and marketing teams. Their experiences confirmed that Ignite AI addresses everyday needs while sparking bolder ideas for AI’s impact.

Catching payroll issues before they become problems

Forty-two percent of leaders say they want AI that can flag payroll irregularities early and recommend corrections before processing — making it the most in-demand HR AI capability.

The cost of payroll and data errors is rarely limited to dollars; it also undermines employee trust. For Paylocity clients, getting ahead of those issues isn’t new. Our payroll software has long helped teams surface problems before payroll runs. With AI, that capability becomes faster, sharper, and easier to act on.

Amy Gunn, Director of Payroll for the Utah Jazz and Utah Mammoth, described the shift Ignite AI enables: “It will definitely help categorize some of the challenges we have as far as tax liability, benefits, things that are kind of buried within the payroll system that people don’t pay much attention to until there’s a problem.”

That demand reflects a shift in expectations: Business leaders no longer want HR systems that simply process transactions. They want intelligence that helps prevent operational issues long before they impact employees.

Better insights for workforce planning

Thirty-five percent of leaders name predictive analytics and workforce planning as the top capability missing from their current HR technology. That’s a significant gap, and it points to a broader issue: Too many AI tools automate tasks without giving leaders better decision-making visibility.

One powerful use case is high-volume hiring, where speed and precision directly affect business outcomes. Ryan Zimmerman, Vice President of Human Resources for POLYWOOD, sees strong potential in using AI agents tailored to find the specialized qualifications and experience his team needs. “We do a lot of bulk recruiting where we’ll get hundreds of applications in a week,” he said. “Being able to put the specific criteria we’re looking for into the system will really help speed the process. We can spend more time sourcing, less sorting.”

But the value doesn’t stop with recruitment. As Ignite AI analyzes patterns in your workforce data, it can match people to open roles and shifts based on skills. That gives frontline managers back hours spent piecing together coverage, and it shows leaders where talent gaps are forming and how demand is shifting. The result is a workforce strategy grounded in real intelligence.

Bringing clarity to AI in HR

Nearly one-third of HR tech decision-makers say limited internal expertise is a major obstacle to AI adoption. That tells us two things: AI tools need to be intuitive enough to use without a technical background, and they need to deliver results that are measurable.

To see what AI is doing and how it’s working, the Ignite AI hub provides a centralized dashboard where admins can activate specific agents and access metrics about AI usage across the platform. That control gives leaders peace of mind and a better understanding of how AI is driving productivity gains.

“I definitely feel like being able to turn agents on and off, choosing what you want to utilize and testing it out, and seeing everything all in one place is a real advantage of Ignite AI.” said Robyn Klawitter, Executive Vice President of Mountainside Fitness.

When AI tools reduce friction, adoption follows more naturally. And when leaders can clearly see how those tools are being used and the value they’re delivering, confidence grows alongside adoption.

Trust starts with proven data security

Nearly half of business leaders rank data security and privacy as the top barrier to AI adoption. That’s not a perception problem. It’s a trust problem, and it’s ours to solve.

Because Ignite AI is woven throughout our unified platform, leaders can apply AI without ever leaving the system. Consistent governance, access controls, and auditability are built into the HCM solution they already rely on for HR, payroll, and spend management.

“Using a tool that’s embedded into a trusted partner like Paylocity is the right way to use AI,” Robyn Klawitter said. “It’s the intelligent source that an executive can use and know that your partner has vetted all of the security behind it.”

At Paylocity, we don’t believe HR teams should have to choose between innovation and security. With Ignite AI, HR teams can put AI to work confidently, backed by the security, governance, and control they expect.

What this means for leaders right now

There’s no shortage of AI noise in the HCM market today. Leaders should be asking: Who’s actually listening to what my organization needs?

The next phase of AI in HR won’t be defined by novelty. It will be defined by trust, usability, and documented outcomes. As you evaluate where AI fits into your HR strategy, start with the needs your current tools aren’t meeting — and expect your technology provider to solve for what matters most.

Our survey made those priorities clear: proactive payroll error detection, predictive workforce insights, less friction for teams without deep AI expertise, and stronger data security. Amy, Ryan, and Robyn each pointed to Ignite AI’s ability to deliver on those needs in practical, meaningful ways.

That’s the value of co-creation. We build with clients, not just for them, so every agent is grounded in a real challenge and designed to drive measurable impact. Bring us your toughest challenges. We’re listening, and we’ll keep moving forward together.
